Portal Tour
Explore the customer portal pages and the information available in each section.
The customer portal offers a consolidated view of your service relationship. This tour explains what you can expect to find on each page and how to interpret the information shown.
Portal Overview#
The landing page greets you after signing in. It highlights:
- Recent Requests – the five most recent orders with quick links to their detail pages.
- Outstanding Invoices – any balances awaiting payment, including invoice numbers and amounts.
- Notifications Feed – approvals, schedule changes, or technician updates that require attention.
- Start Session Button – launches a secure chat window with support when live assistance is available.
Use the shortcuts above the cards to open the full requests list, browse your assets, or create a new order.
Requests#
Select Portal → Requests to access the complete history of work linked to your organisation.
- Filter by status, priority, or creation date to focus on active work.
- Search by order number, asset tag, or site name.
- Open an order to view the timeline, attachments, invoices, and technician notes.
- Export the list as CSV to reconcile against your internal systems.
Orders Detail Page#
Each order has several tabs:
- Summary – status ribbon, assigned technicians, and key dates.
- Timeline – chronological history of updates, including recommendations and approvals.
- Attachments – upload or download supporting documents. Drag-and-drop is supported.
- Invoices – preview and download billing documents related to the order.
- Parts & Labour – review logged work, installed components, and associated costs.
Use the Respond button at the top of the page to approve technician recommendations or ask follow-up questions.
Assets#
The Assets area lists equipment registered to your account.
- Each asset shows serial numbers, locations, and the most recent service order.
- Create new assets directly from this page or from within the order form.
- Export the asset list when you need to share equipment records with internal teams.
Invoices#
The invoices page provides a searchable archive of billing documents.
- Filter by status (Outstanding, Paid, or Voided) and by date range.
- Open an invoice to download a PDF copy and view the parts and labour breakdown.
- Add notes for your internal finance team. Notes are visible only to your organisation.
Profile & Preferences#
In Portal → Profile you can:
- Update contact details and opt into digest-style notifications.
- Configure whether you receive SMS alerts (when enabled for your organisation).
- Review and download the audit log that records every login associated with your account.
Tips for Power Users#
- Bookmark frequently accessed filters—for example, open requests by site—and share the URLs with colleagues.
- Use the CSV exports to feed performance metrics into your BI tools.
- Encourage colleagues to create their own accounts rather than sharing logins so the audit log remains accurate.
